Review Payroll Allocations

Use All payroll, Needs attention, and the row inspector to understand and resolve current employee payroll allocations.

Open Allocations → Payroll from the sidebar. The page answers three questions:

  1. What payroll has GrantLink received?
  2. Where is it allocated now?
  3. What still needs a human answer?

The summary shows payroll received, the amount assigned to grants, and the amount that still needs an answer.

Choose a View

  • All payroll shows every current employee/component cost.
  • Needs attention shows only costs with missing work evidence or an unresolved grant amount.
  • Report shows an employee-by-grant table for a pay-date range.

When unresolved work exists, Needs attention opens first so the next action is visible without scanning completed payroll.

Select a payroll row to open its details. The inspector shows the source amount, pay date, component, Initiative evidence, eligible grants, current allocation, and immutable history.

Allocate Across Eligible Grants

When work evidence points to an Initiative with several eligible grants:

  1. Open the payroll cost.
  2. Enter a percentage for each grant supported by the evidence.
  3. Review assigned and unresolved percentages.
  4. Name the evidence or person supporting the distribution.
  5. Choose Save changes.

Percentages may total less than 100%. GrantLink leaves the remainder visible rather than guessing where it belongs. They cannot total more than 100%.

GrantLink converts the percentages to exact cents deterministically. The final cents always reconcile to the source cost: grant amounts plus the unresolved remainder equal the received payroll amount.

After saving, open the affected grant's Allocations tab. All allocations includes a separate Payroll group showing the employee, pay date, Initiative, allocated amount, and whether QuickBooks supports it. Choose the Payroll view to see only those assignments. Grant Overview also shows a payroll summary. These admin-only payroll amounts remain separate from recorded spend, which prevents the same cost from appearing twice.

Direct Saves and Chat Changes

A direct Save in the workspace is the signed-in admin’s decision. GrantLink validates the complete distribution and rejects a stale save if someone changed the cost after you opened it.

When the assistant proposes a financial redistribution in chat, it first explains the exact dollar effects and that total payroll expense is unchanged. GrantLink then interrupts chat with Approve / Do not approve for that exact change. There is no separate plan or second approval step.

Use Ask about this payroll cost when you want the assistant to explain the evidence, current allocation, or unresolved amount. The assistant reads the same record shown in the inspector.

What Payroll Allocation Changes

Payroll allocation changes GrantLink’s employee-by-grant reporting. It does not change payroll-provider records, paychecks, cash, payroll liabilities, or QuickBooks.

Payroll amounts do not yet replace effective actuals in every existing GrantLink dashboard and report. Use the Payroll report as the supported employee-level view, and do not add its total to an existing QuickBooks allocation for the same expense line.
