Grants

Current Grant Detail Navigation

Quick reference for the grant sections Overview, Details, Budget, Transactions, Reporting, and Activity, and where each grant task lives.

Open Grants and select a grant to open its workspace. The address is /grants/<grant-id>. Each section adds a tab value to the address, except Overview, which uses the base address.

The workspace has six sections. Budget, Transactions, and Reporting each have a second row of pages.

Change data in the page that owns it. A figure on Overview is a summary, so you correct it on the owning page or in QuickBooks.

Read and write access

Each grant belongs to one organization. If you open a grant from another organization, the page shows Grant unavailable. Viewers can open every page but can't change data. For Viewers, Details shows the message You have view-only access to this grant. To create, edit, allocate, or post, use the Member or Admin role. Some steps also need an Admin approval or a QuickBooks permission.

What changes QuickBooks and what doesn't

  • Invoices & receipts: QuickBooks rows come from synced data. Correct those values in QuickBooks and sync again. Manual receipts are GrantLink records and don't create QuickBooks income.
  • Allocations: Grant assignment, budget lines, and funding share treatment are reporting data in GrantLink. Syncing or viewing an allocation doesn't change QuickBooks.
  • Releases: Restriction releases are on Grants > Restricted funds > Releases, not inside the grant. See Understanding and Using Restriction Releases in GrantLink.
  • Indirect costs: You review calculation and approval runs in GrantLink. An approved run shows Post to QuickBooks, but GrantLink has turned off journal entry posting for indirect cost runs, so posting fails for every organization. Record any required journal entry in QuickBooks through your accounting process.
  • Budget: Budget lines, categories, periods, and account matches belong to GrantLink. Matching a line to a QuickBooks expense account groups the grant's synced allocations. It doesn't change the chart of accounts.

A grant has no setting that overrides Settings > QuickBooks > Permissions. The grant's QuickBooks links decide which activity GrantLink matches to the grant, and they don't give permission to change QuickBooks.

Budget periods aren't reporting cycles

Budget periods split the budget worksheet and its comparison with actual amounts. Reporting cycles set the period that each report covers and its due date. The two can overlap, but changing one doesn't update the other. Use Reporting > Setup for the reporting schedule, Reporting > Reports for report work, and Budget for the spending plan.

Status, Closed, and archive

The Status field on Details offers Prospect, Applied, Awarded, Active, Closeout, Closed, Declined, and Withdrawn. The field doesn't check whether the change follows the usual order, so review a status change before you save it.

Close / archive in the row menu on the Grants list does more than set the status to Closed. It also archives the grant and its QuickBooks links, and it releases the grant's allocations. See Grant Status Lifecycle.

Common tasks

  • A synced expense is on the wrong grant: Open Transactions > Allocations and review the QuickBooks source and the GrantLink assignment. Correct the coding in QuickBooks or change the GrantLink assignment, and then sync and review again. See Allocating Transactions to Grants.
  • Actual amounts are on the wrong budget line: Open Transactions > Allocations and select the correct budget line. Then check Budget > Matrix. See Setting Up Grant Budgets.
  • Funds received looks wrong: Open Transactions > Invoices & receipts. Tell QuickBooks rows from manual rows, correct the source, and confirm the latest sync.
  • A report due date or period is wrong: Open Reporting > Setup and review the cadence and Days Until Due. Then check the Reporting section of the dashboard. GrantLink has no full editor for reporting cycles. See Tracking Grant Milestones and Deadlines.
  • You need a web report: Open Reporting > Reports and select Draft report with Assistant. Draft and review the report in the chat, and find it later on Reporting > Reports.
  • A funder form needs filling: On Reporting > Templates, select Add template and add an .xlsx or .xlsm workbook or a fillable PDF up to 3 MB. In the organization's Reports list, select the reporting obligation and choose Prepare in chat, or Prepare new report if a report already exists. To fill the template, open the obligation and select Prepare copy. Review the copy, select Mark reviewed, and then select Download copy. See Generating Funder Reports.
  • A donor restriction has been met: Open Grants > Restricted funds > Releases to record or review the release and its evidence.
  • Indirect costs need review: Open Budget > Indirect costs and review the settings and the calculation. See Running Indirect Cost Calculations.
  • Grant setup or status is wrong: Open Details to change the grant details, links, or status. Use Close / archive from the Grants list only when you want to archive the grant. See Creating and Managing Grants.
