Managing Departments in QuickBooks Online
Departments (also called Locations in some QuickBooks versions) provide another dimension for categorizing transactions. GrantLink can use Departments for program tracking.
What Are Departments?
Departments in QuickBooks Online are similar to Classes but designed specifically for organizational structure. They're sometimes labeled as "Locations" depending on your QuickBooks version.
Use Departments for:
- Organizational units - Departments, divisions, teams
- Programs - Service programs, initiatives
- Locations - Physical sites or regions
- Cost centers - Budget responsibility areas

Using Departments with GrantLink
Configuration Options
When setting up GrantLink, you choose how to track programs:
- Departments - Programs map to QuickBooks Departments
- Classes - Programs map to QuickBooks Classes (if not using Classes for grants)
Setting Up Departments
In QuickBooks Online:
- Go to Settings > Account and Settings
- Select the Advanced tab
- In Categories, enable Track locations
- Save
Creating Departments
- Go to Settings > All Lists > Locations (or Departments)
- Click New
- Enter the program/department name
- Set as active
- Save
Program Tracking Example
A nonprofit with three programs:
Departments in QuickBooks:
- Youth Services
- Senior Programs
- Community Outreach
Classes in QuickBooks (for grants):
- DOE Youth Grant 2024
- State Senior Services Grant
- Community Foundation Grant
When entering a transaction:
- Account: Program Supplies
- Amount: $500
- Class: DOE Youth Grant 2024 (which grant pays)
- Department: Youth Services (which program benefits)

Best Practices
- Define structure first - Plan your Departments before entering data
- Keep it simple - Don't create more Departments than needed
